How to Manage your Roster in TeamSnap ONE

As a coach, you can add and remove players, manage staff, and share your team's invite code directly from the TeamSnap ONE app. Here's everything you need to know to keep your roster up to date.

Note: Some of these actions require your organisation to enable them first. If you don't see an option, check with your organisation administrator.

ADDING A PLAYER TO YOUR ROSTER

  1. Open the TeamSnap ONE app.
  2. From the Home tab, select your team, and then navigate to the Roster tab.
  3. Tap the “+ Add player to team" button, and a modal will appear.
  4. Enter the player's first name, last name, and jersey number.
  5. If you're also the player's primary contact (for example, you're adding your own child), check the box to claim the player. This will automatically add you as their contact.
  6. Tap Add Player.

Note: Unless you have checked the box stating that you’re the primary contact for this player, players added this way won't have a parent or contact linked to them yet. 

To connect a parent to the player, you’ll have to share your team invite code with them. Once they claim the player, they'll be added as a contact.

REMOVING A PLAYER FROM YOUR ROSTER

  1. Open the TeamSnap ONE app.
  2. From the Home tab, select your team, and then navigate to the Roster tab.
  3. Tap on the player's profile.
  4. Tap "Remove from team."
  5. Confirm the removal.

Once removed, the player's contacts will also lose access to the team on their home screen, unless they have other players on the same team or hold a staff role.

Note: Removing a player through the TeamSnap ONE app sends an email notification to the player's contacts, letting them know they've been removed. If the same action is taken through the org admin site, no notification is sent. Keep this in mind so you're not caught off guard if a parent reaches out asking why they received the email.

INVITING PARENTS AND CONTACTS TO YOUR TEAM

Your team invite code is how parents and contacts find and claim their players on your roster. Each team has one code, and it's the same for everyone unless you request a new one.

Where to find your code:

  • After creating your roster — the code appears on the confirmation screen once your roster is set up.
  • From the roster screen — if any players are missing a contact, you'll see an alert on the roster screen. Tap it to access your invite code and sharing options.
  • From a player's profile — tap on any player without an invited contact to see the code and share options.

From there, you can copy the code or share the invite link directly via text, email or any messaging app on your device. The share option includes both the code and a direct invite link to make it easy for parents to get started.

Getting a new code:

If you need to reset your team invite code (for example, if you've removed someone and want to prevent their access), contact TeamSnap support at help@teamsnapone.com, and we can generate a new one for you. 

Note: Resetting the invite code will invalidate the previous code. Any users who have not yet joined the team will need to be provided with the new code to complete their access.

ADDING STAFF TO YOUR TEAM

You can add a new staff member or give a player’s contact a staff role.

Adding a new staff member:

  1. Open the TeamSnap ONE app.
  2. From the Home tab, select your team, and then navigate to the Roster tab.
  3. Tap the option to add staff.
  4. Enter their name, email address, and role.
  5. Tap Send invite.

They'll receive an email invitation and be added to the team automatically — no invite code needed. If they don’t already have a TeamSnap ONE account, once they create one, they’ll be added to the team automatically.

Giving an existing contact a staff role:

  1. Open the TeamSnap ONE app.
  2. From the Home tab, select your team, and then navigate to the Roster tab.
  3. Tap the option to add staff.
  4. Select the existing contact you'd like to promote.
  5. Go to their profile, tap Edit next to the staff role field.
  6. Choose their role and save.

Note: if a player is also acting as a staff member (e.g., junior coach or player-coach), they’ll need to be added as a staff member.


CHANGING A STAFF MEMBER'S ROLE

Any staff member can update their own role or another staff member's role.

  1. Go to the staff member's profile.
  2. Tap Edit next to their current role.
  3. Select the new role — Head Coach, Coach, or Team Manager — and save.

REMOVING A STAFF MEMBER

Any staff member can remove another person's staff role.

  1. Go to the staff member's profile.
  2. Select the option to remove their staff role.
  3. Confirm the action.

You can also remove yourself from a staff role, as long as at least one other person on the team has a staff role.
